Instructions for New TA’s

Please follow the steps below for Connect, Faculty Service Centre (FSC), paystub & annual T4 access:

1. How to get a Campus Wide Login (CWL)

Please go visit this link to create sign-up for a Campus Wide Login https://www.cwl.ubc.ca/SignUp/cwlsubscribe/SelfSubscribeIndex.do.

2. Employee ID and Campus Wide Login (CWL)

If your TA position is the first employment appointment at UBC, you will receive an email with instructions for linking your Employee ID to your Campus Wide Login.  This is an important step that will allow you to not only access online features such as paystubs and annual T4’s, but it also will allow us to grant you access to Connect (for online course material), Faculty Service Centre (for class lists and to upload grades) and the Student Evaluation of Teaching (SEOT) system.

Once you receive this email, please contact the Graduate Coordinator of the department you are appointed through either BotanyAlice Liou, alice.liou(at)botany.ubc.ca or ZoologyGerard Cowan, coordinator(at)zoology.ubc.ca.  They will provide you with your Employee ID and CWL Sign Up PIN.  Once you have linked your Employee ID and CWL, please send a confirmation email to them.

Any CWL Account holder can add an Employee and/or Student Number to their CWL account. Valid Employee or Student Numbers and related passwords are necessary.

  1. Log in to CWL myAccount.
  2. Click Add Employee/Student Number.
  3. The Add Employee/Student Number page displays current Student and Employee Numbers (if any) are already affiliated with the CWL account.
  4. Select Affiliation Type (i.e. student or employee)
  5. For student, enter Student Number and SSC Password.
    OR
    For employee, enter Employee Number, Date of Birth, and CWL Sign Up PIN.
  6. Click Add.

Select the “employee” option.  If you do not know your employee ID or CWL Sign Up PIN, send an email to he Graduate Coordinator of the department you are appointed through either BotanyAlice Liou, alice.liou(at)botany.ubc.ca or ZoologyGerard Cowan, coordinator(at)zoology.ubc.ca.

It is important that TAs maintain their existing CWL and DO NOT create a new CWL as this may cause them access issues.

4. How to get a UBC email address

A UBC email is required for you to gain access to UBC Systems (i.e. FSC and Connect) and to correspond with undergraduate students.  Please contact the IT Services contact for the department you are appointed through and they will set you up with a departmental email or sign-up for free student email through UBC IT Services by visiting https://id.ubc.ca/.

  • Botany – John Ng, john.ng(at)ubc.ca
  • Zoology – Simon Wilson, simon(at)zoology.ubc.ca

5. How to add a UBC email as your Business email

  1. Log in to Faculty & Staff Self-Service with your CWL     (MUST BE DONE ON CAMPUS!)
  2. Click on Email Address in the myPersonal Info section.
  3. Add an email address by clicking on the Add an Email Address button.
    1. For a business email address, select the Business email type.
  4. Enter the email address and hit SAVE.
